WP Swings Event Ticket Manager
Integration with WooCommerce
The Events Manager is integrated with WooCommerce. This means that an Event represents a WooCommerce Product of type Events.
Events are therefore created and modified in the Products menu.
When the recurring events feature of the Events Manager is used, then the Events Manager creates each recurring event as a child of the parent event.

The events listed in the Products > All Products window are the parent events. Child events linked to a parent event are listed under WooCommerce > Events Recurring.

Child events are copies of the parent event. Therefore, to apply an update to the children of a parent event, all child events must be deleted first. After updating the parent event, new recurring events must be created.
Creating events
Single Event
A single event can be created as follows:
- Navigate to Products > Add new product.
- Add the event name and description. In the right column add images to Product image and Product gallery (for multiple images). Assign Product categories and Tags as needed. Categories and Tags are used to order or sort the store catalogue.
- In the Product data section select Product type Events.
- In the General tab set the Regular price of the events ticket. If you want to limit the maximum number of tickets a user can purchase, activate Limit User Purchase and set the purchase limit. Sale Price are discounted special prices other then the regular price. They can be scheduled for a pre-defined period of validity.
- Move to the Inventory tab. If you want to control the maximum number of seats available at the event, activate Track stock quantity for this product. Add the maximum number of available seats in the Quantity field and the Initial stock available field.
- Move to the Events tab. Enter the start and end date and times and add the event venue. Event venue should be an Google Maps place, to be displayed on Google Maps when activated. You can also set different prices for different types of users, e.g. Adults and Children. With Base Price means the price rule is applied to the Regular or Sale Price set in 4 above. Without Base Price means you define the applicable price in the price rule.
- Add a Product short description, i.e. a brief summary of the Event in one or two sentences.
- Scroll up and click Save Draft or Publish. Publishing makes the event available for purchase on the Events Calendar of the website.
Recurring events
Follow steps 1 to 7 for creating a Single event. Then:
- Tick the Recurring Event option.
- Save the event as draft.
- Scroll down to Product data and select the Events tab.
- Under Recurring Events Settings define the recurrence frequency, start time and end time. The system will apply this recurrence rule for the period between the Start and End date of the event. Safe and publish with the recurrent events settings.
- Scroll back to Product data and select the Events tab.
- Click on Create Recurring Event. You can then review them under WooCommerce > Events Recurring.

If you are updating a recurrent event from the parent event, you should delete the attached recurring events first. Then create a new set of the recurring event with the changes applied. Otherwise, there will be duplicate recurring events.
Event updates
Single event
- Navigate to Products > All products.
- Select the even to be updated and click on Edit.
- Make changes as necessary.
- Click on Update in the top right corner of the page so save the changes.

To remove the event from the calendar, you can delete the event, provided that there are no tickets sold for the event. Alternatively, under Product data in the Inventory tab, you can reduce the stock quantity to the number of tickets sold. The event will then become unavailable and can not longer be booked on the website.
Recurring events bulk edit
To bulk update the children of a parent event:
- Navigate to Products > All products.
- Select the parent event and click edit.
- Scroll to Product data and select the Events tab.
- Delete the associated recurring events.
- Update the parent events details as required, and save/publish the changes.
- Scroll back to Product data and the Events tab.
- Create the updated recurring events.
Recurring event single edit
To update a single child event:
- Navigate to WooCommerce > Events Recurring.
- Select the event to the updated and click Edit. You can filter the list by the parent event.
- Apply the changes as necessary and re-publish the changes.
Event management
Event tickets sold can be managed under WooCommerce > Events. The list of attendees can be filtered by event.
Event tickets are sent to customers when the WooCommerce Order status is set to Processing (this setting can be changed under WP Swings > Event Tickets Manager). The store owner or manager must therefore track incoming orders and update the order status.

Order status can be updated conveniently via the Woo mobile app.
The QR or Barcode on the ticket emailed to customers can be used to check-in an attendee at the event. It prevents potential double usage of the same ticket.
